Arrival
In the surrounding area, numerous signposts point the way to the Gravel Ground by Maxxis event site.

A short-term parking area (max. 30 minutes) will be set up right next to the accreditation desk for picking up your documents. Once you have your documents, you can drive to the exhibition grounds and the designated exhibitor parking area.
Set up and dismantling of the fair
The exhibition stand will be set up on Thursday, September 25, from 9:00 a.m. to 6:00 p.m. and on Friday, September 26, 2025, from 8:00 a.m. to 11:00 a.m. At 11:00 a.m., all vehicles that are not integrated into your stand must leave the exhibition grounds.
Upon arrival at the exhibition grounds, please report to our Expo Team at the Expo Office (Motoworld Zeche Ewald - Doncasterplatz 4). We will then show you your stand area and hand you your exhibitor documents.
We kindly ask you to only begin dismantling your stands on Sunday, September 28, 2025, after the festival has ended at 4:00 p.m.
Please note that your stand may only be secured using weights. Drilling into the floor is not permitted. Failure to comply will result in the full repair costs being charged to the person responsible after the event. A central water point will be set up where weights can be filled with water.
Exhibitor passes and parking
You can obtain exhibitor passes and parking tickets for the exhibitor parking lot when you register at the Expo Office, located directly on the festival grounds. (Motoworld Zeche Ewald - Doncasterplatz 4)
The Expo Office is open for document collection at the following times:

Electricity connections
There are power distribution boxes at regular intervals throughout the exhibition grounds. All exhibitors who require power access and have pre-ordered it must ensure that they bring their own extension cables or a cable reel to cover a length of approx. 30 m. Connection may only be made in the presence of a trade fair representative.
Water connections
A central water hydrant will be installed on the exhibition grounds, which all exhibitors can use freely, e.g., to fill weights. Please note that you are not permitted to lay your own water hoses from this point to your own booth.

Fire safety (important information for all exhibitors!)
Important information: Please note that due to official regulations, it is mandatory to have a fire extinguisher approved and certified in Germany (e.g., DIN EN 3) readily available at your exhibition stand. It should have a minimum capacity of 1 kg/liter per 20 m² of stand space and contain foam or powder as the extinguishing agent. The authorities will carry out random checks during the festival.
Furthermore, for safety reasons, barbecuing is prohibited on the exhibition grounds. We kindly ask you to comply with this rule.
Compliance with the space requirements
In light of your official registration (number of square meters booked) and in the interests of fairness among exhibitors, we kindly ask you to set up your booth exclusively in the area assigned to you.

Saturday: 10:00 am - 07:00 pm
Sunday: 10:00 am - 04:00 pm
The exhibition grounds are accessible to exhibitors two hours before and one hour after public opening hours. For security reasons, exhibitors are also expressly prohibited from entering the exhibition grounds during the night.

Ground conditions
The exhibition area for booth numbers A, B, C, D, and E is located on solid brick flooring. Below is a picture of the exhibition area:
We would like to point out once again that the stands and tents in this area may only be secured with weights. Anchors and drilling into the ground are not permitted.
The food area is located on coarse gravel. Below is a picture of the food area:
In the food area (on gravel), securing is permitted with both weights and ground pegs.
Replenishment
Exhibitors have two hours before the start of the trade fair to restock their stands with individual items (giveaways, information material, etc.). Motor vehicles are not permitted on the premises during this period, so restocking must be done on foot.
Camping
Areas for camping will be set up directly at the event site, which may also be used by exhibitors. Information on prices and availability can be found here.
Exhibitor parking
The exhibitor parking spaces are located in the immediate vicinity of the event grounds and are clearly signposted. A parking ticket is required for parking, which you will receive when you register at the Expo Office. This is free of charge for all exhibitors. The parking ticket must be filled out and displayed visibly on the windshield.

Waste disposal
Your waste will be collected every evening from September 24 to 26, 2025. Please ensure that your waste is placed in front of your Expo stand in the evening and separated as follows so that it can be disposed of properly:

If waste is generated during setup, we ask that you dispose of it yourself. A recycling area will be set up near the exhibition for this purpose. The location of the recycling area can be found in the following image:
Guarding
The festival grounds will be guarded by a security company from 7:00 p.m. in the evening until 10:00 a.m. in the morning. This does not include individual booth security.
The organizer accepts no liability for stolen items. Security staff are instructed not to allow anyone onto the premises. We therefore ask you to take your personal valuables (cell phones, keys, hotel keys, etc.) with you when you leave the premises at the end of the day.
Individual stand security
You can book individual stand security with the security company Wolff Sicherheit + Service GmbH. Please only book individual security with the security company Wolff Sicherheit + Service GmbH! No other security companies are permitted on the festival grounds.

Actions and other events
Friday: 7:00 pm – midnight, the after-work market with DJ will take place. The food area will remain open during this time (the exhibition grounds close to visitors at 7:00 pm).
On Saturday evening, the official Gravel Ground Party will also take place at Moto59 starting at 9:00 pm
