New exhibition area
Since 2025 the old gravel area of the exhibition area was resurfaced and is now also asphalted with parking bays. We kindly ask you to take this into account when planning your booth and would like to point out that all booths may only be secured with weights and that drilling into the asphalt is not permitted. Setting up and dismantling the fair
The EXPO buildup will be possible from Wednesday, 27th of May 2026 from 12:00pm to 06:00pm and on Thursday, the 28th of May 2026 from 09:00am to 06:00pm . For the larger trucks bigger than 7.5t the arrival is necessary on Wednesday, the 27th of May 2026 between 09:00am and 12:00pm in the afternoon.
When you arrive at the exhibition grounds, please contact the staff at the Expo Office and they will show you your booth area.
The dismantling of the booths may only take place on Sunday the 31st of May 2026 after the official end of the festival at 04:00pm. For safety reasons all cars, vans and trucks are not allowed on the Expo area until 04:30 pm.
Fixing the booth
To secure and fasten the booth is permitted on the asphalt surfaces exclusively with weights only. Drilling and fixing of the booths into the asphalt is strictly forbidden. In case of violation, the damage caused will be charged to the respective booth after the event!
Exhibitor passes
You will receive your exhibitor passes and parking permits when you register at the Expo Office, Exit 2.
Please note that starting Thursday, May 28, 2026, you will only be able to access the expo area with your exhibitor pass, which you must pick up at the Expo Office before setting up your booth.
Water/electricity connections
On the Expo area there are set up power distribution boxes periodically.
All exhibitors who require access to electricity and have pre-ordered it need to bring their own extension cables or a cable drum to be able to bridge a length of about 30m.
Due to new water supply guidelines, only hydrants with corresponding distributors on GEKA hose couplings will be made available on the site. The distance from the water hydrant to the booth must be covered using the exhibitor’s own suitable hose. Therefore, please make sure that you have enough hose material with you to reach the nearest hydrant. Distances of max. 50m will have to be bridged.
In addition, boothes that sell food or beverages are required to use only food-grade hoses (blue). Violation of this requirement may result that the booth being closed by the authorities.
Below you will find a hydrant map so that you can estimate the distance to the next hydrant accordingly.
Compliance with the space requirements
In the spirit of fair cooperation among the exhibitors we ask you to set up your booth exclusively in the area assigned to you.
Opening hours of the EXPO Area
Friday 11:00 am – 07:00 pm
Saturday 10:00 am – 07:00 pm
Sunday 10:00 am – 04:00 pm
For the exhibitors the EXPO area is open two hours before and one hour after the official opening hours. For security reasons, entering the EXPO area is forbidden while the night time also for exhibitors.
Replenishment Delivery
In the two hours before the fair begins the exhibitors have the possibility to organize their replenishment delivery (Give aways, info material etc.). The certificates for exhibitors entitle you to pass the control stations.
Exhibitor parking
The parking lot for the exhibitors is located close to the Expo area and well signposted.
We would like to advice you, that the car wash is forbidden on the Expo area.
Please note that vehicles which will be used e.g. as a storage or similar may only be parked at the Expo if they are integrated into the booked booth space. No additional parking spaces will be provided at the Expo.
Furthermore, the parking next to the start/finish area of the marathon and the camping at the parking areas are forbidden as well.
Waste disposal
Your waste will be disposed each day in the evening. Please note, that you need to put your waste outside in front of your booth when you leave your booth.
Guarding
The entire area will be guarded at night in between 08:00pm and 10:00am by Hess Security. It is not allowed to order a private security company.
The organizer assumes no liability for stolen items. The security is required not to let anyone on the Expo area. Therefore, we ask you to take all your personal belongings (mobiles, keys, etc.) with you when you leave the Expo in the evening.
If necessary, you can order an individual single booth surveillance at Hess Security. Please only book this service at Hess Security, because other security companies are not permitted at BIKE Festival.

Fire protection
Important information: We advise you that it is mandatory due to regulatory requirements to have a fire extinguisher available at the trade fair booth which is approved and certified in Germany (e.g. DIN EN 3). This should have a minimum size of 1kg/liter per 20m² of booth area and contain foam or powder. The authorities will carry out spot checks during the festival. Furthermore, barbecue at the expo grounds is forbidden for safety reasons. We ask you to comply with this.
